"Season Long" Committee Chairs
Banquet Coordinator:
Oversees the banquet planning, arranging banquet location, décor, food/refreshments, activities, ordering trophies/medals/awards, creating an agenda for the evening, picture slide show, music/DJ, coordinating set up and clean up, set up table with: w/family folders, lost & found, end of year survey, Bylaws, and Board elections.
Communications Manager:
Responsible for all official emails, texts and Shock Sheets sent to the team as needed including emergency weather cancellations or delays. Also keeps Facebook page up to date and replies to messages from that source or routes them to the appropriate board member. Will be listed as the primary point of contact on the website for general questions
Computers Manager:
Responsible for the weekly team roster, heat sheets, and delivers to the NWAL meet coordinator (or other, including invitational meets) on or before the deadline preceding each meet. Creates master swim team roster and updates it with NWAL & team. Provides the necessary training for new recruits. Manages, configures and maintains all computer system and software. Run reports for coaches as needed and handles meet entry exchange. Oversees and validates data entry at meets, calculates results, prints score sheets, etc. Attendance required at all meets.
Concessions Coordinator:
Responsible for concessions at home meets including submitting a menu proposal to the Board which will include: item, cost, sale price, profit margin, # to be ordered. Responsible for obtaining all concession items, placing order for items, ensuring pick up items, setting up a booth(s), end of year inventory of equipment/supplies, and is responsible for totaling monies with the Treasurer. Orders and picks up items from the grocery store during the day on Friday before home meets
Equipment Manager:
Performs the beginning of season inventory of all equipment/supplies and maintenance of same. Responsible for all meet and event set ups and return of all equipment as directed by the Board.
Event Coordinator:
Responsible for arranging spirit nights (dining with a % back to team), swim parties, and pep rallies. Coordinates location, food, and supplies.
Meet Setup & Breakdown Coordinator:
Responsible for transportation and proper handling of equipment to and from away meets. Coordinates meet setup, breakdown and cleanup volunteers. Coordinates with the Vice President and Team Rep to ensure Meets run smoothly from setup through cleanup.
Officials Coordinator (Meet Referee):
Responsible for solicitation of volunteers to attend NWAL training (in April) and tracks their certifications each year to ensure our team has sufficient number of officials. Responsible for recruiting starter, referee, head timer and stroke and turn. Coordinate the team officials for each dual meet and Divisional meet. Overseas all on/off deck officials, including the Head Timer. Meet Referee is ultimately accountable for ensuring that NWAL meets are operated according to the current NWAL rules and other sanctioning documents.
Registrar:
Responsible for registration process. Setup the online registration forms in our website at the beginning of the season, monitor and review new registrations, answer questions from parents, collect volunteer deposit checks and assist the swimmers check-in at the pool during the first 2 weeks of practice, and manage cancellations. Works with the Treasurer.
Sponsorship Coordinator:
Oversees the sponsor program. Solicits local businesses to underwrite the team. Collect logos for team shirts, website, signs, heat sheets etc. May also be asked to solicit donations for incentives/ rewards.
Swimmer Programs Coordinator:
Coordinates the Minnow-Buddies, Minnow-Wranglers and Monsters programs.
Team Store/Spirit Wear Coordinator:
Responsible for submitting a list of proposed team/spirit merchandise for team members to purchase such as: suits, swim caps, caps/visors, t-shirts, bags, etc. List must be submitted by the end of March for Board approval and ready for sale by first day of practice. Responsible for sale of items on-line, setting up booth at practices and at home and away meets. Responsible for placing order, ensuring pick up/delivery of items, end of year inventory and is responsible for totaling monies with Treasurer.

Meet Specific Jobs
Require attendance at the meet
You must find the Volunteer Check-in table, and sign in before your shift in order to get credit.
If the job is a "shift job", it means there will be 2 shifts so you can sign up for both, or shift one typically runs from just before the meet begins to event 41, which is about half way. Shift 2 will run from then, until the end of the meet. Some jobs require different times and will be noted in the title.
Age Group Tent Parent: (2-6 pts)
Must be at meet at 7:00 am. There will be 2 tent parents coordinating each age group. With this position you get to know all the kids!
In the morning you will:
- gather the swimmers to take attendance
- turn in scratches to Coaches
- inform the swimmers of their stroke assignments by writing it on their arm in sharpie marker
- help the coaches get the kids to warm ups at the appropriate time
Not all swimmers stay at the tent. That is at the discretion of their parents. During the meet you are responsible for:
- "keeping the peace", organized activities that will help the swimmers have fun while they are not swimming is highly encouraged!
- when it is time for your group to swim you line then up and escort them to the ready bench. After they are done you escort them back off the deck.
At the end of the meet you will:
- Take your provided trash bag to the dumpster
- Tear down your tent
Announcer-DJ: (4-6 pts)
Sets up audio equipment. Announces sponsors, events, and calls swimmers to the ready bench during all home meets.
Computer Data Entry: (4-6 pts)
Assists the Computer\Meet Entry Manager, inside the clubhouse, validating times, calculating results and printing score sheets. No previous training is necessary and this job has the perk of air conditioning!
Computers Posting & Running: Shift job (2-3 pts)
Post heat sheets and results on walls, delivers time sheets between the Scribes and the Computer Room, and delivers heat sheets to Officials and Tent Parents
Computer Results Verification: (4-6 pts)
Assists the Computer\Meet Entry Manager, inside the clubhouse, verifying results. No previous training is necessary and this job has the perk of air conditioning!
Concessions Sales/Cashier (Early Morning): Shift job (2-3 pts)
Must be at pool by 6:15 am. Helps prepare food items needed for early morning (coffee, donuts, fruit, etc.). Works the concession stand preparing and selling food.
Concessions Sales/Cashier (Mid Morning): Shift job (2-3 pts)
Assist in preparation and sale of food and snacks during the meet. Roles include sandwich/burger/hot dog preparation, serve customers at concession window, cash register, and clean up after meet.
Concessions Donut shopper: (0.5 pt)
Order and pickup donuts, for home meets, from our supplier for delivery at the pool by 6:30 AM.
Concessions Preparation: (3 pts)
Helps prepare food in advance to sell at concessions. Preparation is done at their home, the evening before home meets.
Concessions Breakfast Tacos: (3 pts)
Makes and delivers breakfast tacos, for home meets at the pool by 6:30 AM
Head Timer: Shift job (2-3 pts)
Responsible for all timers/ and scribes, for maintaining scribe boards/supplies, stop watches and false start gun.
Hospitality Room & Drink Runner: Shift job (2-3 pts)
Organizes food, drinks and supplies in the hospitality room. Cleans up the room at meet end. Delivers water to officials, timers and scribes that are on deck during the meet.
Hospitality Restroom Sanitazion: Shift job (2-3 pts)
Occasionally checks restrooms, restocks supplies, and sanitize them.
Lane Scribe:Shift job (2-3 pts)
Verifies swimmers names for each race. Sit at an assigned lane and records the times from the timers. Hands out heat ribbons to "8 and unders", recording their times on the back.
Lane Timer: Shift job (2-3 pts)
Stands at the end of a lane, (with 2 other timers), using a digital stopwatch to obtains swimmers official time. Reports time to the Scribe.
Friday Setup (night duty): (1-2 pts)
For away meets: Must be at the VNP pool just before practice ends to lift and store the blocks, lane ropes, and backstroke flags.
For home meets: Must be at the VNP pool as the last practice begins. Sets up inside tables, tables inside pool area, and parking signs. Requires heavy lifting.
Saturday Meet Setup: (1-2 pts)
Must be at the pool by 6 am. Sets up tents and tables before meet. Requires early morning service and heavy lifting.
Meet Breakdown and Cleanup: (1-2 pts)
As the meet ends, breaks down and stores tables and tents. Disposes of tent trash bags, Checks pool and tent areas for trash.
Parking Coordinator: (2-3 pts)
Must be at pool by 6:00 am. Walks streets watching for illegally parked cars and illegal drop offs. Assists the Parking and Safety Coordinator.
Parking and Safety Lead: (4-6 pts)
Must be at pool by 6:00 am. Responsible for the parking at home meets and all events at the VNP pool by arriving early to install “No Parking” signs and directional signs, instructing visiting teams where to park, and directing cars at the loading areas after event 42 and during the last events of a meet as people pack up to leave. Ahead of the season, coordinates with President to understand rules put forth by the HOA and to determine need for additional signs, cones, vests, or other parking-related equipment. Walks streets watching for illegally parked cars and illegal drop offs.
Ready Bench: Shift job (2-3 pts)
Assists in seating and moving swimmers up to starting blocks in their assigned lanes. Checks swimmer lane assignments before they get to the starting blocks, escorting swimmers when they are moved to opposite end of the pool. Requires standing most of the time.
Ribbons: (2 pts)
During meets, responsible for adhering labels to the respective ribbons and placing them in the family folders by the first day of practice.
Team Spirit Shop Sales/Cashier: (2-3 pts)
Sells team merchandise and swim gear during meets and some practice days or special events. Cash register.
Storage Unit/Tent Crew (Friday Setup): (2 pts)
Picks up tents and equipment from storage and delivers them to meets. Assists in setting up tents.
Storage Unit/Tent Crew (Saturday Breakdown): (2 pts)
Assists in breaking down tents. Take tents and equipment from meets to the storage unit.
Volunteer Check-In: (3 pts)
Must arrive at 6:45 am. Assists the Volunteer Coordinator with the check-in of volunteers through out the meet.
Non-Meet related jobs.
Some do not require attendance at the meets
Team Photographer: (2-3 pts per event)
Takes action/candid shots (of all ages) at all events, home/away meets. Responsible for posting them in a timely manner where our team members can download them. Responsible for submitting photos to the Board for posting on team website and for creating a slide show for the end of year banquet.
Practice Setup/Breakdown: (1 pt)
Gets out and puts away the blocks, lane ropes, and flags as needed for all practices as requested by the coaches.
Officials
Requires NWAL training: must attend a class, on deck training, and pass online test.
The following are season long position but you must find the Volunteer Check-in table and sign in before your shift in order to get credit.
Clerk of Course (Head Ready Bench):
Coordinates the swimmers and volunteers at the ready bench at all meets. In charge of arranging swimmers on benches (using computer sheets) by event, heat, and lane assignment making sure the correct swimmers are in the correct lanes at their assigned heat, and event and to provide necessary training for new recruits, and helps guide younger swimmers to the starting blocks.
Starter:
Official responsible for starting events fairly. Directs swimmers to "take their mark..." Must attend NWAL training in March or April to be a certified official starter.
Stroke and Turn Official:
Watches from the sides and ends of the pool for disqualification's (DQ's); looking for proper technique in strokes and turns and starts and finishes. Must attend NWAL training in March or April to be a certified official.
Deck Referee:
Supervises the Starter and on deck officials assigned by the Officials Coordinator (Meet Referee); shall, before each race signal the Starter that all of the Officials and swimmers are in position, that the course is clear, and that the competition may begin. Must attend NWAL training in March or April to be a certified official Deck Referee.
